How to reply to Google reviews: examples for 5-star and 1-star reviews

A simple 4-part formula for replying to Google reviews, real examples for happy and angry customers, and what never to write.

People read your Google reviews before they visit, call or order. They also read your replies. A thoughtful reply to an angry review can win more trust than ten 5-star reviews.

Here's a simple way to reply to every type of review, with examples you can adapt.

Why reply to reviews at all?

  • Customers notice. A business that replies looks active and caring.
  • Unhappy customers often come back when they feel heard.
  • Google encourages it: its own advice is to respond to reviews to show customers you value their feedback.

Aim to reply within a day or two, to every review, good or bad.

The 4-part formula

  1. Thank them by name.
  2. Mention something specific from their review, so it doesn't sound copy-pasted.
  3. Add one helpful line: an invitation to come back, a tip, or (for complaints) what you'll do.
  4. Sign off warmly, with your name or the business name.

Examples

5-star review: "Best kaju katli in Lajpat Nagar, and the staff were so polite!"

Thank you so much, Ritu! We're glad you loved the kaju katli. It's made fresh every morning. Do try our Diwali special boxes next time. See you soon! – Team Sharma Sweets

4-star review with a small complaint: "Good food but waited 25 minutes on Saturday."

Thanks for visiting, Arjun, and for the honest feedback. Saturday evenings get busy, and we're adding a staff member for weekends so the wait is shorter. Hope to serve you faster next time!

1-star review: "Ordered a cake for my son's birthday, it came late and the name was spelled wrong."

We're really sorry, Neha. A birthday cake has to be perfect and on time, and we let you down. Please message us on WhatsApp at [number] with your order number. We'd like to make this right.

A review with no text: just the stars.

Thank you for the 5 stars! We're happy you had a good experience with us.

Replying to negative reviews: dos and don'ts

Do

  • Stay calm. Wait an hour if you're angry.
  • Apologise for their experience, even if you think they're partly wrong.
  • Move the conversation offline: WhatsApp, phone or email.
  • Fix the real problem, and mention it if it helps others.

Don't

  • Argue, blame the customer or say "this never happens".
  • Share their order details, health information or phone number publicly.
  • Offer money or gifts in exchange for changing the review.
  • Copy-paste the same reply on every review.

Fake or abusive review? Reply politely and briefly ("We couldn't find any order under this name. Please contact us so we can look into it."), then use Report review in your Google Business Profile.
